Greenmile.co.uk Limited ("we" or "us") is committed to protecting the personal information of visitors to, and users of, our website www.greenmile.co.uk ("our site").

We reserve the right to amend, vary and/or to withdraw this Policy at any time. In the event of any changes being made to this Policy we will notify you of them; however we shall be responsible for determining the appropriate form that such notification should take.

1.  Collection of Personal Information

1.1 Personal information is any information about you from which you can be identified, such as your name, email address and/or other identifying information.

1.2 We collect personal information provided by you when you place an order for a Carbon Credits Allocation from us and/or when you contact us in writing and/or by email or telephone and/or via our site for information.

1.3 We may collect and process the following information about you:

  1. information that you provide by filling in forms on our site including:

    (i)   your full name, email address and home address;

    (ii)  your credit card/debit card details;

    (iii) details of your carbon emitting activities (the "Allocation Description") (where you choose to describe these to us) which may include for example, a description of a particular car model/ registration number or a journey/flight;

  2. a record of any communications we have with you either in writing, by email or by telephone if you contact us either in writing, by email or by telephone for information or when you report a problem with our site; and
  3. details of your visits to our site and the resources that you access.

1.4 We may also collect information about your use of our site when you access and browse our site, as described in paragraph 2 below.

2.  Collection and Use of Tracking Information

2.1 We may collect information about your computer including, where available, your ;operating system and browser type, for system administration and reporting purposes.

2.2 We may also obtain information about your general internet usage by using a cookie file which is stored on the hard drive of your computer.

2.3 A "cookie" is a small data file containing information that is written to a user's hard drive by a web server and used to track the pages visited. Cookies help us to improve our site and to deliver a better and more personalised service. Any information collected in this way will be used:

  1. to enhance your use of our site by storing information about your preferences, so allowing us to customise our site according to your individual interests;
  2. to track traffic patterns on our site; and
  3. to provide reports for our internal use.

2.4 You may refuse to accept cookies by activating the setting on your browser which allows you to refuse the setting of cookies. If you select this setting, however, you may be unable to access certain parts of our site.

3.1 to fulfil any requests by you for a Carbon Credits Allocation;

3.2 to fulfil any requests by you for information from us;

3.3 to ensure that Content on our site is presented in the most effective manner for you and your computer;

3.4 for any purpose which reasonably arises out of and/or in connection with your use of our site;

3.5 to notify you about any important changes or developments to our site or our business;

4.  Disclosure of Personal Information

4.1 We reserve the right to disclose your personal information to certain third parties as follows:

  1. to any sub-contractors we may engage to assist us in operating our site;
  2. to appropriate third parties for the purposes of verifying your personal information including Secure Trading in respect of verifying payment details;
  3. where disclosure is necessary (i) in response to a subpoena, court order or government request or request by any other appropriate authority; (ii) for the purposes of taking legal action to establish or exercise our legal rights or defend legal claims against us; (iii) to investigate, prevent and/or take other action in connection with possible illegal activities, suspected fraud, situations involving potential threats to the physical safety of any persons; (iv) in order to enforce or apply, or in respect of any violations of, our website terms and conditions([Insert link to website Terms and Conditions]) and other agreements; (iv) to protect our rights, property or safety, or those of our customers, or others; or as otherwise required and/or permitted by law or regulation. For the avoidance of doubt, this includes exchanging information with other companies and organisations for the purposes of fraud protection and credit risk reduction;
  4. if our business enters into a joint venture with or is sold to or merged with another business entity, or all or substantially all of its assets are acquired by a third party, your information may be disclosed to our new business partners or owners, and personal data held by us about our customers will be one of the transferred assets;

4.2 If you do not want us to pass your details on to third parties for marketing purposes, please indicate this when your permission is requested for such disclosure.

5.  Storage of your Personal Information and Data Retention

5.1 We have organisational measures in place which are designed to protect your personal information. However no on-line system is impenetrable and we cannot guarantee the security of your personal information on-line. We will use reasonable measures to protect your personal information from alteration, loss or misuse.

5.2 The data that we collect from you will be stored by greenmile. It may also be processed by third party sub-contractors (including, but not limited to Secure Trading ). By submitting your personal data, you agree to this transfer, storing and/or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Policy.

5.3 SecureTrading is Payment Card Industry (PCI) Security Standards accredited and takes care to ensure that transaction data is safe at all times. They use digital signatures and strong encryption to ensure that all sensitive information is protected throughout a transaction. We will not be responsible for any personal information you disclose to third parties that do not use strong encryption methods and/or do not offer a secure way to transmit information.

5.4 All and any payments made via our site will be payable via the Secure Trading system. As such we shall not at any time have access to your debit/credit bank account details. We do not, therefore, accept any responsibility for the security of any financial information you disclose via the Secure Trading system.

5.5 Subject to paragraph 5.6, we will retain your personal information for a reasonable period or for so long as the law requires.

5.6 We shall use our best endeavours to maintain the Book Entry Database and to keep this up to date with Book Entries. We shall keep your Book Entry in the Book Entry Database for the shorter of 10 years or whilst the company continues to trade.

6.;  Accessing and Updating/Amending

6.1 You are entitled to see the information we hold about you and you may ask us to make any necessary changes to ensure that it is accurate and kept up to date. If you wish to do this please contact us by emailing us at info@greenmile.co.uk. We are entitled by law to charge a fee of £10 to meet our costs in providing you with details of the information we hold about you. If you inform us in writing of any inaccuracies we will use reasonable endeavours to correct the information we hold about you.

6.2 If you wish to amend your Book Entry, you are able to do so by emailing us with the amended details. Amendments you make to the Book Entry Database are subject always to your compliance with our Terms and Conditions.

7.  Destruction of Personal Information

Manual destruction of files, records and computer printouts containing sensitive data and confidential information are carried out in a secure way by internal shredding. Personal information provided by electronic means shall be expunged from our systems on a regular basis.
